How Shieldbearer Ledger Co. collects, uses, and protects your information.

Effective Date: January 1, 2026

Shieldbearer Ledger Co. ("we," "our," or "us") is committed to protecting the privacy and confidentiality of our clients and website visitors. This Privacy Policy describes how we collect, use, disclose, and safeguard your information when you visit our website or engage our bookkeeping services.

By using our website or services, you agree to the practices described in this policy. If you do not agree, please do not use our website or services.

1. Information We Collect

We may collect the following types of information:

  • Contact Information — name, email address, phone number, and business name provided through our contact form or during onboarding.
  • Financial Records — bank statements, receipts, invoices, bills, and other source documents you provide to enable us to perform bookkeeping services.
  • QuickBooks Online Data — transactional and financial data accessed through your QuickBooks Online file as an authorized accountant user.
  • Communications — emails, messages, and other correspondence you send to us in connection with our services.
  • Website Usage Data — browser type, IP address, pages visited, and time spent on our website, collected via standard web analytics tools.

2. How We Use Your Information

We use the information we collect solely for the following purposes:

  • To provide, perform, and improve our bookkeeping and accounting support services.
  • To communicate with you about your account, invoices, and service updates.
  • To respond to inquiries submitted through our website contact form.
  • To comply with applicable legal, regulatory, and professional obligations.
  • To protect the rights, property, and safety of Shieldbearer Ledger Co. and our clients.

We do not sell, rent, trade, or otherwise transfer your personal or financial information to third parties for marketing purposes — ever.

3. How We Share Your Information

We do not disclose your information to third parties except in the following limited circumstances:

  • With Your Consent — when you have given explicit prior written approval.
  • Service Providers — trusted third-party platforms used to deliver our services (e.g., QuickBooks Online, secure document storage), each bound by their own privacy and security standards.
  • Legal Requirements — when required by law, court order, subpoena, or regulatory authority.
  • Business Transfer — in the event of a merger, acquisition, or sale of substantially all assets, your information may be transferred as part of that transaction with equivalent privacy protections.

4. Data Security

We take the security of your financial information seriously. We implement the following safeguards:

  • All document exchange occurs through QuickBooks Online Shared Documents or other encrypted, secure portals — never via unencrypted email.
  • Access to your QuickBooks Online file is limited to authorized personnel and performed exclusively through Intuit's secure QBOA platform.
  • We maintain reasonable administrative, technical, and physical safeguards to protect against unauthorized access, disclosure, or destruction of your information.

While we take these precautions, no method of transmission or storage is 100% secure. We cannot guarantee absolute security, and we are not liable for breaches resulting from your actions, including sharing login credentials or using unsecured networks.

5. Data Retention

We retain your financial records and work product for a minimum of seven (7) years following the end of our engagement, as required by professional bookkeeping standards and applicable law. Upon written request and full payment of all outstanding fees, we will provide copies of your work product in standard formats (PDF, Excel, CSV) and, where applicable, delete or destroy copies of your confidential information.

6. Your Rights

You have the right to:

  • Request access to the personal information we hold about you.
  • Request correction of inaccurate or incomplete information.
  • Request deletion of your personal information, subject to our legal retention obligations.
  • Withdraw consent for any non-essential use of your information at any time.

To exercise any of these rights, please contact us using the information in Section 9 below. We will respond to all legitimate requests within a reasonable timeframe.

7. Cookies & Website Analytics

Our website may use standard web analytics tools that collect anonymous usage data (pages visited, time on site, browser type). This data is aggregated and does not personally identify you. We do not use tracking cookies for advertising or retargeting purposes.

8. Third-Party Links

Our website may contain links to third-party websites (e.g., QuickBooks Online). We are not responsible for the privacy practices or content of those sites. We encourage you to review their privacy policies before providing any personal information.

9. Children's Privacy

Our services are not directed to individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe a minor has provided us with personal information, please contact us immediately and we will take steps to remove it.

10. Changes to This Policy
